Setting Up Permission Filters in Datarails

Overview

Permission filters in Datarails allow you to constrain the data that specific users can view based on certain fields in your database. This ensures that users only have access to the specific data they need, which is especially useful in situations where data access needs to be limited. This guide provides a step-by-step tutorial on how to set up these filters.

Why Use Permission Filters?

You might need permission filters when:

  • You want to limit a user's access to specific data segments.
  • You wish to display data outputs from only certain departments.
  • You want to ensure that users cannot view data beyond what's designated by the filter.

Note: Permission filters are different from sharing folders, file boxes, or dashboards directly with users.

Setting Up a Permission Filter

  1. Navigate to 'Members and Groups': Start by going to the 'Members and Groups' section which is located on the left-hand admin pane.

  2. Access User Settings: Once you're in the 'Members and Groups' section, hover over the user you want to set a permission for, and then click on the three-dot icon located on the right.

  3. Select 'Edit Permissions Filter': From the drop-down menu that appears, choose 'Edit Permissions Filter'. A new window will pop up.

  4. Choose the Database Table: In the new window, you will see a list of tables from your database. For this example, we'll choose the 'Financials' table. Once selected, this will reveal all variables contained within the 'Financials' table.

  5. Specify the Variable: From the list of variables, drag the 'Department' variable (or your chosen variable) over to the 'Permissions Filter' segment.

  6. Apply the Filter: Click on the 'Filter' icon situated on the right side of the screen. For this demonstration, we'll choose the 'Customer Success' department. Once applied, this filter ensures that the user can only view data relevant to the 'Customer Success' department. This restriction applies to both Excel outputs and Dashboards.

Conclusion

Setting up permission filters in Datarails enhances data security and ensures that users only access the specific data they need. Always make sure to review and test your permission filters to ensure they're working as intended. If you have any questions or need further assistance, please contact our support team.
