Workflows: Assignee View

When a user is assigned tasks from a workflow in Datarails, they gain access to the Tasks Interface. This feature is essential for delegating tasks and collecting specific inputs from colleagues.

A user will only see the Tasks Interface if they have been assigned tasks within a workflow. For example, department heads might be assigned tasks to complete their respective sections of a Budget Template.

Assignee's View

  1. Accessing the Interface: After logging in, users are automatically directed to the Tasks Interface.

  2. Interface Overview:

    • Task List: Displays all tasks assigned to the user.
    • Reporter Information: Shows who reported each task (e.g., the support user).
    • Tags: Indicates tags related to the data the user needs to manage.
    • Task Status: Displays the current status of each task.
  3. Interacting with Tasks:

    • Task Details: Each task includes a description and a due date (e.g., submit a new version of the General Ledger by July 31st).
    • Interaction Options:
      • Download: Obtain an existing version of the data (e.g., General Ledger).
      • Upload: Submit a new version if changes are made outside Datarails.
      • Edit: Modify an existing version directly within the Datarails interface.
      • Mark as Complete: Update the task status to complete, which will be reflected in the main workflow interface.
  4. Special Tasks – Chart of Accounts:

    • Update Unmapped Items: Contributors can address unmapped items in the Chart of Accounts.
    • Download: Option to download the entire Chart of Accounts.
  5. Accessing Related Files:

    • Navigate to Settings Menu: View file boxes relevant to the tasks.
    • Example: In the test scenario, the General Ledger file box will be accessible due to the associated task.
