User Management in DataRails

1. Accessing User Management:
Prerequisites: You must have admin permissions in the database to manage users.

  • Go to the homescreen.
  • On the left-hand side, open the admin pane.
  • Click on "Members and Groups."

2. Adding a New Member:
To add a new member to your DataRails environment:

  1. Under the "Members" tab, click on the purple plus icon on the right-hand side.
  2. A pop-up screen will appear with fields: "Email," "Organization," and "Role."
    • Email: Enter the user's email address. This will be used for login and communication purposes.
    • Organization: By default, this field will show the name of your company/organization. If needed, select the desired organization from the dropdown menu.
    • Role: Choose between "Viewer," "Contributor," and "Admin." Each role has different privileges, which are detailed in the next section.

3. Understanding Roles in DataRails:
Each role has unique capabilities:

  1. Viewer:
    • View dashboards and excel-related outputs.
    • Filter data and drill down based on permissions.
  2. Contributor:
    • All capabilities of a "Viewer."
    • Submit new data to the system.
    • Create/edit dashboards.
    • Build reports using the Report Builder.
  3. Admin:
    • All capabilities of both "Viewer" and "Contributor."
    • Manage permissions, users, data connections, integrations.
    • Share data with specific users.
    • The only role that can access the user management interface.

4. Managing Groups:

To manage groups:

  1. Click on the "Groups" tab at the top left of the screen.
  2. You will see groups like "All Admins," "Contributors," and "Viewers," which are default groups associated with the same organization.
  3. Each group displays a filter and list of its users.
  4. To modify groups or add users to them:
    • Click on the three dots on the right of a group.
    • Through this, permissions can be set on a group level, which is more efficient than individual settings.
    • Dashboards and reports can also be shared with groups rather than individual users.

Conclusion:
Effectively managing users, assigning appropriate roles, and creating groups allows for better control and data sharing within DataRails. Always ensure that roles and permissions are set according to user needs to maintain data integrity and security.
