Collection Process Overview

A Collection Process serves as a centralized container for multiple Fileboxes, with each Filebox containing file versions that share the same structure but correspond to different dimensions.

In a Collection Process, a dimension is an attribute used to differentiate between various categories within the Collection. Each dimension has specific values, and for each value, there is a separate Filebox containing identically structured files. For example, if the dimension is "Entity" there will be a separate Filebox for each Entity, each containing the Entity's specific files with identical structure.

Collection Process offers a range of tagging options, including Date tags (e.g., yearly, monthly) and scenario tags (e.g., actuals, forecast, budget). For instance, a Collection Process tagged with a month tag will differentiate each Filebox version by month.

Create a new Collection Process

  1. Navigate to the Workspace.
  2. Click the New + icon and select 'New Collection Process'.
  3. In the 'Add Collection Process' Step 1 window, enter the Collection Process Name and click Next.
  4. In Step 2, complete the Scenario, Date, File Status, and Budget Cycle fields, then click Next.
  5. In Step 3, enter the Dimension Name and Dimension Values, then click Next.
  6. Click Save.
  7. The new Collection Process will be created.

Create a new Collection Process Filebox

Creating a new Collection Process Filebox is equivalent to adding a new Dimension value.

  1. Navigate to the Collection Process.
  2. Click the New + icon and select 'New Fileboxes'.
  3. In the 'Add Collection Process Fileboxes' window, enter the new Dimension Values that will be represented by new Fileboxes.
  4. Drag and drop your file or browse to select the file, you can also skip uploading new file. 
  5. Click Save.
  6. The new Filebox will be created within the Collection Process. 

Upload Files Into a Collection Process

You can upload files via the Workspace, the Collection Process and the Excel add-in.

Via the Workspace

  1. Navigate to the Workspace and select the relevant Collection Process.
  2. Click on the three dots ellipsis icon and choose 'Upload files'.
  3. Drag and drop your files or browse to select them. 
  4. If a Filebox tag exists, assign a version tag. 
  5. Choose Filebox from the drop-down menu to connect the file to. 
  6. Click 'Upload'.
  7. The files will be uploaded to the selected tags.

Via the Collection Process

  1. Navigate to the Collection Process.
  2. Click on "Actions" and select "Upload files".
  3. Drag and drop your files or browse to select the files. 
  4. If a Filebox tag exists, assign a version tag. 
  5. Choose Filebox from the drop-down menu to connect the file. 
  6. Click 'Upload'.
  7. The files will be uploaded to the chosen tags.
