Data Mapper: System Fields

When data is uploaded into a Filebox, the Data Mapper processes it and stores it in tables representing the environment database.

Each table includes system fields—predefined attributes automatically populated with data when new mappings are published using the Data Mapper. These fields ensure essential information is consistently captured and managed.

System fields serve multiple purposes, such as:

  • Creating functions, formulas, or custom columns
  • Filtering tables
  • Identifying data sources
  • Adding tags or labels to reports

System fields cannot be edited because they are generated automatically.

View System Fields in Data Mapper

System fields are initially visible in the Table view by default. To view them in the Data Mapper, follow these steps:

Data Mapper

  1. Open the Data Mapper for the relevant Filebox. Learn how to access the Data Mapper. 
  2. In the database preview, locate and click on the filter icon.
  3. Check the 'System Fields' box.
  4. System fields will be highlighted in light blue within the database preview.

Tables Section

  1. Navigate to the workspace and click on 'Tables' in the left pane.
  2. Select the table name you wish to edit.
  3. The Table Fields list will open, displaying all fields in the table.
  4. System fields will appear at the bottom of the page.

System Fields

The table lists the system fields and describes usage.

System Field Description Comments
DataMapper_Name  The Data Mapper's name  Can be located in the Data Mapper
Version Number The version's number Auto-generated for each mapping
Version Name The version's name Available when a version is named
Submitting User Datarails user email  
Submission Date Submission date of the version  

Latest_in_Dim

True if data is from the latest version

Last version in the time dimension

File Status (Tag)

Draft / Final

Final tag is added by Admin only

System_Date

Full date of version's date tag

 

System_Year

Year of version's date tag

 

System_Quarter

Quarter of version's date tag

 

System_Month

Month (text) of version's date tag

 

System_Month_Num

Month (Num) of version's date tag

 

System_Week

Week of version's date tag

 

System_Day

Day of version's date tag

 

System_Date_Tag

The Filebox date tag

Can be Year, Quarter, Month etc.

System_Date_Tag_Label

The version date tag Label

 

Worksheet (tab)

The name of the tab

 

Budget Cycle

the version budget cycle

 

Can be used to differentiate and filter different budget cycles

CP_Name

Collection process name

Available if a collection process exists

Field (Dimension)

Dimension within the collection process 

Available if a collection process exists

Field = dimension chosen in collection process

Filebox ID

The ID of the Filebox

Can be used in filters and useful in data validation process

Filebox_Name

The Name of the Filebox

Can be used in filters and useful in data validation process
