Lookups are essential for mapping data accurately across various datasets. Unmapped items are data entries in the raw data that do not have a corresponding match in the lookup file. This occurs when the lookup process attempts to find a value for a given item, but no matching entry is found in the lookup.
To navigate the unmapped items section effectively, start by reviewing the Lookups Overview article.
For instance, if you import a monthly General Ledger, which occasionally contains new Account IDs, these IDs won't be found in the existing lookup file. As a result, these new IDs are added to the lookup file for you to map into the database. Unmapped items need to be mapped accordingly to align with existing hierarchies or groupings.
Unmapped items notifications
Datarails provides several indications for unmapped items to ensure that users can promptly identify and address them. These indications appear in various locations across the platform: Lookups Folder, Home Page, Notification Bell and Workflow, if exists.
Lookups Folder
The Lookups folder contains all existing lookup fileboxes and lookup configurations. for each lookup filebox that has a lookup configuration set (and the 'Fill Unmapped items' option enabled), there will be an indication of unmapped items. A folder within the Lookups Folder, containing many lookup fileboxes, will present the combined number of all unmapped items from all lookup fileboxes. Home Page
The Home Page displays an 'Unmapped Items' section, showing the full number of unmapped items in your environment for all tables and all lookup configurations. If the 'Unmapped Items' section displays 'Flawless Mapping!', there are no unmapped items. If it shows a yellow icon with a number, there are unmapped items to map. By clicking on the 'Unmapped Items' section, users can review the unmapped items and see their origins.
Notification Bell
The Notification Bell in your environment will notify you of different actions performed within the environment, including new unmapped items. Clicking on the filebox name in an unmapped items notification will navigate directly to the lookup filebox.
Workflow
Workflows in Datarails help you manage your processes from end to end and indicate unmapped items. Learn more about Workflows.
- Navigate to 'My Workflows'.
- Open the relevant workflow.
- Complete the first step, input, and proceed to the second step, configuration.
- A list of all lookup fileboxes will appear. For each filebox, the data status will indicate if there are unmapped items.
- Click the 'Update Unmapped Item' button to open the online editor.
- Update the unmapped items. If needed, disable the 'View unmapped items only' toggle to view all items. Read more about the Online Editor.
- Click 'Submit'. If not all unmapped items were updated, a message will pop up, indicating you can either save changes without addressing the unmapped items or update the missing items.
Map Unmapped items
There are two primary methods for updating unmapped items in Datarails: using the online editor and updating via an Excel file.
Via the Excel add-in

- Navigate to the Lookups folder using the Home Page, left side panel, or notification bell.
- Choose the Lookup you wish to map the unmapped items for. Hover over it, and click on the 'Download' button, or click on the three dots ellipsis icon and select 'Download'.
- Open the downloaded file and ensure you are connected to your environment via the Excel add-in.
- Update the unmapped items by filling in the relevant values. All unmapped items, if any, will be added at the bottom of the lookup file.
- Upload or submit the file to the relevant Filebox.
Online Update
- Navigate to the Lookups folder using the Home Page, left side panel, or notification bell.
- Choose the Lookup you wish to map the unmapped items for and click the 'Update'.
- The 'Update Mapping' window opens with the 'View unmapped items only' toggle enabled, showing all unmapped items. To see all lookup items, disable the 'View unmapped items only' toggle.
- Update the unmapped items by filling in the relevant values. All unmapped items, if any, will be added at the bottom of the lookup file.
- Click 'Submit'. If not all unmapped items were updated, a message will pop up, indicating you can either save changes without addressing the unmapped items or go update the missing items.
