Lookups Overview

In Datarails Connect, lookups are reference tables that allow you to pull in key information based on specific values. Examples include retrieving:

  • Account details by account number.
  • Product details by product code.
  • Customer information by customer ID.

Lookups connect directly to your database tables. The basic configuration of these lookups is typically handled by your Customer Success Manager.

Updating lookup files ensures your data remains complete and reliable by addressing unmapped items.

Updating Lookup Files

You can update lookup files using the Lookups icon in the Datarails ribbon. Follow these steps to resolve unmapped items:

  1. Navigate to the Datarails ribbon in your file.
  2. Look for the Lookups icon (a red exclamation mark indicates unmapped items).
  3. Click the Lookups icon to open the summary screen.
  4. View Lookup Files Summary
    • The summary screen shows all lookup files connected to your tables.
    • Files with unmapped items are highlighted with orange exclamation mark.
    • Select the relevant file (e.g., “DR Chart of Accounts”) to view details.
  5. In the detailed view, turn on the toggle View Unmapped Items Only to focus solely on unmapped items.
  6. Review the Key Column (e.g., Account Key) and the unmapped items listed.
  7. Update Mappings. For each unmapped item:
    • Manual Entry: If no match exists, manually enter the value and click Add Item.
    • Select from List: Choose a matching value from the dropdown list.
      Examples:
    • For Expense, manually add “Operating Expense”.
    • For Equity, select “Equity” from the dropdown list.
  8. Select multiple items by checking their boxes.
  9. At the bottom of the screen, click Edit Property and choose the relevant property (e.g., Account Group Level 1).
  10. Assign the same value to multiple items simultaneously.
  11. Click Save to apply updates.
  12. Wait for the system to scan and process the changes.
  13. Once processing is complete, you’ll see confirmation that all items are mapped.
