What you need to get started:
- NetSuite admin user is required.
- Where possible, we recommend that you create a system user rather than use a personal one.
- Datarails admin user is required.
- NetSuite Account ID — found in the URL of your NetSuite account (e.g.
1234567).- Provide this to your Datarails Integration team before proceeding. This is required for us to add your account to the bundle's shared list before you can install it.
In order to troubleshoot NetSuite issues you may be asked to give temporary admin access to the Datarails Integration team.
Sync Datarails with NetSuite — SuiteQL Bundle
The Datarails BI — SuiteQL Bundle connects Datarails to NetSuite via the SuiteQL REST API and is pre-configured to query for General Ledger, Trial Balance, and Balance Sheet data.
Step 1: Enable Required Features
- Log into your NetSuite account — preferably the dedicated Datarails integration account.
- Go to Setup > Company > Enable Features.
- In the new screen that opens, click the SuiteCloud tab on the blue navigation bar.
- Scroll down and enable the following features with a check mark:
- SuiteScript section: Client SuiteScript and Server SuiteScript
- SuiteTalk (Web Services) section: REST Web Services
- Manage Authentication section: Token-Based Authentication
- Click the Analytics tab (separate tab on the same navigation bar) and enable:
- SuiteAnalytics Workbook
- Click Save at the top of the screen.
You are now ready to share your Account ID with Datarails. Continue with Step 2.
Step 2: Share Your NetSuite Account ID with Datarails
Before you can install the bundle, Datarails must add your account to the bundle's shared list. The bundle will not appear in search results until this is done.
How to find your Account ID:
- Look at the URL in your browser while logged into NetSuite.
- Production example:
https://1234567.app.netsuite.com→ Account ID is 1234567 - Sandbox example:
https://1234567-sb1.app.netsuite.com→ Account ID is 1234567_SB1
Important! Send your Account ID to your Datarails Integration contact and wait for confirmation before proceeding to Step 3. Installation will fail if your account has not yet been added to the shared list.
Step 3: Install the Datarails BI — SuiteQL Bundle
- Go to Customization > SuiteBundler > Search & Install Bundles.
- In the search box, type Datarails BI and click Search.
- The Datarails BI — SuiteQL bundle will appear in a row below. Click the bundle name and a new screen will open.
- Click Install.
- In the new Preview Details screen that opens, click Install Bundle.
- This will begin the installation process and another screen will open.
- Click Refresh and wait until you see a green checkmark in the Status column.
- You may need to refresh the page more than once for the checkmark to appear.
The Datarails BI — SuiteQL bundle is now installed in your NetSuite account. Continue with the next step.
Step 4: Configure the Datarails BI — SuiteQL Role
- From the main navigation bar, go to Setup > Users/Roles > Manage Roles.
- Click the Name column to sort the list and find the role Datarails BI — SuiteQL.
- To the left of the Name column, click Edit and a new screen will open.
- Under Subsidiary Restrictions — Accessible Subsidiaries, select All.
- If Accounting Book Access is visible (only present if Multi-Book Accounting is enabled), set it to All.
Edit the Required Permissions — go to the Permissions tab and check whether the following are present. If any are missing, search for them and add them. Note: they may not all be available depending on your NetSuite license.
Transactions tab:
- Vendor Prepayments — View (add if client uses vendor prepayments)
- Vendor Prepayment Application — View (add if client uses vendor prepayments)
- Any additional custom transaction types — View (add any custom transaction types that exist in your NetSuite account and are relevant to your GL data. These will vary per client and can be found by scrolling through the Transactions tab permission list.)
Lists tab:
- Currencies — View
- Subsidiaries — View
Setup tab:
- Accounting Books — View (only if Multi-Book Accounting is enabled)
- Click Save.
If you notice that transaction types are missing from your reports, go back to Setup > Users/Roles > Manage Roles, edit the Datarails BI — SuiteQL role, and add the missing transaction types under the Transactions permissions tab with a level of View.
You have now configured the role with the required permissions. Continue with the next step.
Step 5: Assign the Role to the User
- Navigate to the integration user's record via Lists > Employees > Employees, or search for the user's name in the top navigation bar and open in edit mode.
- Click the Access tab.
- Enable Give Access.
- Under Roles, add the Datarails BI — SuiteQL role and click Add.
- Make sure you are in edit mode, otherwise the role dropdown will not appear.
- Click Save.
- If all settings are accepted, a green confirmation message will appear.
Now that your NetSuite user has the role assigned, the next task is to create the Access Tokens. Continue with the next step.
Step 6: Create the Access Tokens
Important! NetSuite generates access tokens needed for the Datarails synchronization. The Token ID and Token Secret are displayed only once. Be sure to copy them and save them before closing the screen.
- From the main navigation bar, go to Setup > Users/Roles > Access Tokens > New.
- In the new screen that opens, complete the following details:
- Application Name: Datarails BI — SuiteQL
- User: Your integration username
- Role: Datarails BI — SuiteQL
- Token Name: Generated automatically (or give it a name)
- Click Save.
- A new screen opens displaying the Token ID and Token Secret. This screen only appears once — copy both values immediately and save them.
- Copy both tokens and save the information securely.
- Close the screen.
The final task is to send the following information to your Datarails Integration contact:
- Token ID (Access Token)
- Token Secret
- Your NetSuite Account ID (accessible via Setup > Company > Company Information)
Step 7: Create the Data Source in Datarails
Now that the NetSuite setup is complete, the final step is to create the data source connection on the Datarails side.
- From the left navigation panel in Datarails, go to Setup > Integrations.
Click the Data sources tab at the top, then click + New in the top right corner.
In the Add Integrations dialog that opens, select NetSuite.

Bundle type: New
- Click Test. If the setup is correct, you will see OK appear in the Test results field.
- Click Save. This will trigger the initial setup of the NetSuite fileboxes and mappers in Datarails.
Do not click Save until you have confirmed that the Test result shows OK. Saving with incorrect credentials will require you to delete and recreate the data source.
