The add-in lets you generate and share reports with both Datarails and non-Datarails users, whether you are sending them to stakeholders inside your organization or to external recipients who do not use Datarails.
This article covers how to export reports so formulas and dynamic data are either preserved or converted to static values for broader compatibility.
In the task pane, go to Management > Export.
Exporting saves values as static. The exported file does not update dynamically the way your working file does. Export only finalized data when you need to share accurate, non-changing information.
Your file must be connected to your Datarails environment to use Export.

Export as values
When sharing a report with people who do not have the Datarails add-in, you need to remove the Datarails formulas. Without the add-in, formulas such as DR.GET produce errors on their machine. Exporting as values prevents that.
- Open the Excel report you want to export.
- Go to Management > Export.
- Choose Export as values.
- Select the destination folder and save the new file.
- A new report is created containing static values, ready to share with anyone.
Export as PDF
To share a report in a non-editable format, export it directly to PDF.
- Open the Excel report you want to save as a PDF.
- Go to Management > Export.
- Choose Export as PDF.
- Select the destination folder and save the new file.
- A new PDF is created containing the report values.
Create report by filter
Instead of exporting the same report over and over by hand, you can generate one version per filter value: a separate financial statement per department, or a sales report per region, from a single report.
Before you start: add a filter
You need a filter in the workbook before you can split by it. A filter applies across every table that shares the field. See Filters.
Split a report
- Go to Management > Export and choose Create report by filter.
- From Select filter, choose the filter to split on. Selecting a Department filter, for example, gives you one report per department.
- From Select values to export, choose the values you want reports for. Each selected value produces its own report, and All produces one for every value.
- Configure the export options:

- Click Apply, then choose the folder where the reports should be saved.
- If you chose Keep dynamic ranges, a confirmation screen shows the range and how many rows were added. Click OK to continue.
The add-in creates a separate report for each selected filter value, saved to the folder you chose.
If a filter, or a value on an existing filter, is added while this pane is open, click Refresh to pull it into the two lists.

Dynamic ranges and filters work together, so each split report reflects only the rows relevant to its filter value. See Dynamic Ranges.
