The Integration Fileboxes tab displays each Filebox connected to a data source. Use this tab to monitor sync activity, investigate errors, and take action on individual Fileboxes.
Understanding the Integration Fileboxes table
| Column | Description |
| Name | Displays the Filebox name and its location in the Workspace. |
| Date Tag | Shows the date period associated with the Filebox, such as Jan 2025 or Q1 2025. Date tags determine which data is retrieved during a sync. |
| Sync status | Indicates the result or current state of the most recent sync. |
| Last sync | Displays the date and time of the most recent completed sync and who triggered it. |
| Data status | Indicates whether the synced data is available in the Datarails database and whether mapping is required. |
| Actions | Provides context-specific actions for the Filebox. |
Understanding sync statuses
The Sync Status badge indicates the current state of a Filebox sync.
| Status | Meaning |
|---|---|
| Synced | The latest sync completed successfully without errors. |
| Failed | The sync failed. Hover over or click the status to view error details. |
| Ready to sync | The Filebox is connected but has never been synced. |
| Paused | Its data source is paused after repeated authentication errors. |
| Disconnected | Its data source has been archived, so the Filebox no longer gets updates. |
| Not connected | An Integration Filebox with no data source or upload channel yet. |
Reviewing sync and schedules
The Last Synced column shows when the most recent sync completed and who triggered it.
If an automatic sync schedule is configured, a clock icon appears next to the schedule information. Hover over the icon to view the schedule details, such as Every Monday at 7:00 AM.
Understanding data statuses
The Data Status column indicates whether the data has been successfully processed and is available for use.
| Status | Meaning | Recommended action |
|---|---|---|
| Included in DB | The data was mapped and loaded into your Tables. | No action required. |
| Unmapped | The Filebox has no version yet, or a version arrived that hasn’t been mapped. | Review the data in Mapper and complete the required mapping. |
| Mapping failed | The mapper hit an error. | Open Mapper and review the mapping configuration. |
| Export errors | The data was mapped, but loading it into the database failed. | Sync |
| Pending | The latest version is still uploading, being scanned or being calculated. | Sync |
Available actions
The available actions depend on the Filebox's current state. A context-aware button appears at the end of each row to recommend the next step.
| Situation | Action |
| Its data source has been archived (the row shows Disconnected) | Go to Filebox |
| The Filebox has no data source yet (Not connected) | Go to Filebox |
| You don’t have access to the data source | Request access |
| An Email or API Filebox that’s waiting for its first file | Go to Filebox |
| Ready to sync (never synced) | Sync |
| The sync Failed, or the data source is Paused | Error details |
| Mapping Failed | Data mapper |
| Synced, but the data is Unmapped | Data mapper |
Additional actions are available from the three-dot menu (⋮):
Each item appears only when its condition is met.
| Action | When it appears | When it is greyed out |

| Sync settings | Same as Sync, and you can open the Filebox’s settings | The data source is paused |
| Test sync | Same as Sync | Same as Sync |
| Go to Filebox | You have access | Never |
| Data mapper | No file has arrived yet, or you can’t open the mapper | No file has arrived yet, or you can’t open the mapper |

Syncing Fileboxes
From the Integration Fileboxes tab of the Integrations screen you can sync one Filebox or several at once, run a test sync to check a connection, and archive Fileboxes you no longer use.
Sync a single Filebox
Syncing pulls the latest data from the data source and creates a new version of the Filebox for the date tag you choose.
- Find the Filebox you want to sync, then do one of the following:
- Click Sync in the Actions column.
- Click the ⋮ menu at the end of the row and select Sync.
2. The Sync Filebox window opens. Under Select date tag to sync, choose the date tag you want to sync. The Filebox's latest date tag is selected for you.
3. Click Sync. The row's Sync status changes to In progress, then to Synced when the sync finishes.
Sync several date tags of one Filebox
- In the Sync Filebox window, click Sync multiple date tags.
- In the Select Filebox date tags to sync window, select each date tag you want to sync.
- Click Sync. To go back to syncing one date tag, click Sync a single version.
Note: You can't select a locked date tag. Some data sources also can't sync to a future date tag. If you select one, the window explains why and the Sync button stays greyed out.
Sync several Fileboxes at once
- Select the checkbox at the start of each Filebox you want to sync. A toolbar of bulk actions appears.
- Click Sync in the toolbar.
- The Sync Fileboxes window shows how many Fileboxes you're about to sync. Choose the date tag to sync.
- Click Sync. If any of the Fileboxes fail, a message tells you the sync partially completed. Click View failed Fileboxes to see which ones.
Run a test sync
A test sync checks that a Filebox can connect to its data source and run its query, without creating a new version. Use it to check a new or changed setup before you sync for real.
- Click the ⋮ menu at the end of the Filebox's row and select Test sync.
- The test runs on the Filebox's most recent date tag. A message shows while it runs.
- When it finishes, you'll see one of two results:
Archiving Integration Fileboxes
Archive a Filebox when you no longer need it. Archiving moves the Filebox out of active use, and any data coming from it is no longer available in Datarails. You can restore it later.
Archive one Filebox
- Click the ⋮ menu at the end of the Filebox's row and select Archive.
- In the Archive Filebox window, click Archive.
Archive several Fileboxes
- Select the checkbox at the start of each Filebox you want to archive.
- Click Archive in the toolbar.
- In the Archive selected Fileboxes window, click Archive.
Note: Only the Filebox owner can archive a Filebox. If you don't see Archive, you're not the owner, or archiving isn't turned on for your organization.
Restore an archived Filebox
- On the Integration Fileboxes tab, click the Archived Fileboxes icon next to the search box.
- On the Archived Fileboxes page, find the Filebox and click Restore.
- In the Restore Filebox window, click Restore. The Filebox becomes active again, and its data is available in Datarails again.
