Managing Data & User Access Rights

When you share data in Datarails, you can set permissions at the team member level, so only the relevant stakeholders see the data that is specific to them. For example, you can exclude a team member from accessing billing data, or permit a team member to access gross profit data, but be excluded from accessing contract amount data, etc. 

Object & Container-Specific Access Rights

Access rights to object / container types (FileBoxes, Folders, Dashboards) are managed and controlled by the owner of the object or container. Everything under the folder gets shared according to how you share it. 

After an object is added to Datarails, the owner of the object can specify the following permissions:

  • Owner: Permission to edit, delete, and share an object.
  • Contributor: Permission to upload multiple versions to a Filebox.
  • Filebox Viewer: Permission to view versions.
  • Filebox Dashboard Viewer: Permission to view Dashboards that extract data from a Filebox, but have no access rights to the actual Filebox.
  • If you access Datarails through the cloud, please contact your CSM to configure filtering shared data.
    If you access Datarails in-house (on-premise), ask your Admin to configure filtering shared data (see next section).

Roles and Permissions

Within Datarails, there are three types of users: Admins, Contributors and Viewers.

Role Permissions
Admin All spaces, DR functions, DR tables. NO restrictions.
Contributor Access as defined by Admins.
Viewer

Access to reports.
Ability to change local filters on dashboards and create favorites.
Viewers can see / download all reports to which they have access in one location.
No access to Filebox or Workspace settings.
Ability to Drill Down
