Datarails Email Integrations is a feature that lets you seamlessly sync your data automatically using Datarails Fileboxes and scheduled emails. For more information, contact our integrations team here.
File Size Limitation
Please note: Only files smaller than 20MB can be uploaded via email. If your file exceeds this limit, consider compressing it or using an alternative method to upload your data.
How it works
- You create an email scheduled report within your own system.
- An email containing an Excel or CSV file attachment is automatically sent to the Datarails mailbox.
- Datarails extracts the data from the file and inserts the Datarails Database.
Getting Started
- Create a new Filebox in Datarails.
- For the most up-to-date and complete instructions on how to create a new Filebox via the workspace or the Excel add-in, please go here.
- Create a mailbox for your integration:
- Go to Filebox > Settings.
- Scroll to Upload via email.
- Copy the email address and paste it as the recipient address of the email containing the file you want to upload.
- Optional - use the first input field to create a "white list" of allowed emails addresses. If not empty, only files sent from emails appearing in that box will be submitted to the Filebox.
- Optional - use the first input field to create a "white list" of allowed domains. If populated, only files sent from domain appearing in that box will be submitted to the Filebox.
Test It
- Create a new email. Don't forward an existing one.
- Send a file to the new email address (#3 above). This email should contain a subject and an excel / csv file attachment. Make sure that the file size is less than 20 MB, and that the email domain appears in the white list (see #4 and #5 above).
- A new version should be created on the Version tab.
It can take up to two minutes until the synced version appears in the Versions list.
Date Tag Options
1. File/Subject Naming Convention
To enable date-based tagging, include the date in the format yyyy-mm-dd
within either the filename or the email subject.
Example:
A file named GL_2025-01-01.csv
will be automatically tagged under the January 2025 version.
Important:
If the date appears in both the filename and the email subject, the system will prioritize the date in the filename for tagging purposes.
2. Date Tag Offset
You may also define a relative date tag using an offset value. This is especially useful when scheduling recurring file submissions without embedding explicit dates or historical tagging.

will tag the file under the current day/week/month, depending on your Filebox version’s tagging frequency. -
An offset of
-1
will tag the file under the previous day/week/month. -
Similarly,
+1
would tag it under the next day/week/month, if supported.
