Sync Datarails with SAP B1 Hana Cloud

Following a schedule set by the user, the SAP B1 platform is queried. The results are stored as a CSV version in the target FileBox and can be used in DataRails like any other FileBox. 

Prerequisites 

  • Access to Sap BTP Cockpit
  • Admin access to DataRails to set up the integration between Datarails and SAP B1. The integration can be later shared with non-admin users. 

Data is only transferred from Sap B1 to Datarails.

The sync user does not write or modify any data in Sap B1, and therefore only requires list and view access .

Getting Started

Step 1: Acquire Your Credentials from SAP BTP Cockpit

  1. Go to your SAP BTP Cockpit.
  2. In your SAP Cockpit click on SAP HANA Cloud on the left panel.

  3. Click on the Actions drop-down button under the Database Instance you wish to connect.
  4. Choose the Copy SQL Endpoint and save it (it will be needed in the next stage).

Step 2: Create a Data Source in DataRails 

  1. Go to Admin, then Data Sources
  2. Click Add new data source.

  3. In the Edit Data Source dialog, input the following: 
    • Organization: The customer's organization 
    • Type: Select SAPHANADB. 
    • Name: Enter a name for this integration (e.g. “SAP B1 integration”) 
    • Address: Paste the copied “Address” to the Address input in the Data source connection. Note, paste the address until the .com ends.
    • Port: port will be the number after the .com (e.g- f0590abd-4951-4ee5-84ac-7f312d717e2a.hana.trial-us10.hanacloud.ondemand.com:443)
    • User: Is the DB user name.
    • Password: The DB user password.
    • Key: If we use the Address we don’t need to input the Key.unnamed__27_.png
  1. At the bottom of the screen, click Save. 
  2. Click HubSpot connect. You will be redirected to the HubSpot app store page.
  3. In HubSpot, grant permission to DataRails from the admin account - click connect app
  4. Click Test at the bottom of the screen to test the connection. A positive test result is indicated by an OK in the Test results field. Click Save again before you close it.

Step 3: Share Your New Data Source

After the Data Source is created, you can share it with other DataRails users. You can refresh the page if you don’t see the data source right away.

Only users with permission to the Data Source, can use it for querying and syncing data to DataRails' fileboxes.

  1. Go to the Data Source you just created, and select Share.

  2. In the Invite a team member dialog, enter the email address of the person you want to share the Data Source with, then click Send.
    • Please include the support user as well (support@xxxx.com)

Step 4: Query Data from HubSpot Online 

  1. Create a filebox in Datarails.
    • For the most up-to-date and complete instructions on how to create a new filebox via the workspace or the Excel add-in, please go here. Then continue with the instructions below.
  2. Go to the filebox, then Settings tab and scroll down to the Data Connection section.
  3. Choose the relevant Data Connection from the list (e.g. HubSpot Integration).
    • The list only displays those connections shared with users (see Share your new data).
  4. Select an Object Type to define the type of report to sync from HubSpot:
    • Select the required object from the dropdown for any predefined HubSpot objects.
  5. Click Save.
  6. Click Test to test the query.
    • An OK indicates the query is good. The data will sync to the filebox according to the defined schedule.
  7. Click Sync Now to create a new version containing the relevant data within the specified time frame.
    • It can take up to two minutes until the synced version appears in the Versions list.

Step 5: Create a Sync Schedule

  1. Go to the fileBox settings of the filebox you wish to sync. 
  2. Click on Time interval settings, choose the wanted schedule and click Saveunnamed__29_.png
