4.3 Admin Tasks

Roles

Datarails members can have one of four different roles. Each role comes with different levels of permission:

  • Super Admin - can view and edit any objects (Fileboxes and dashboards) in their environment and can log in as other users to see what has been shared with them and edit their access rights. They can also access admin settings, such as adding other members or integrations.
  • Admin - can view and edit objects that they have created or that have been shared with them. Can access admin settings, such as adding other members or integrations.
  • Contributor - can view and edit objects that they have created or that have been shared with them. 
  • Viewer - can view objects that have been shared with them. Viewers can also change filters and drill-down to see different views of the data, however they can't make any edits. Viewers have access to a simplified web environment called "Report Space". Click here to learn more about report spaces.

 

Note that your Datarails Customer Success Manager has an Admin role, meaning they can only see Fileboxes or dashboards that you have shared with them. 

 

Managing permissions

By default, if you create a new Filebox (or dashboard), only you and the designated Super-Admin can see and access it. Datarails Customer Success Manager can also only see Fileboxes you share with them.

Let's take a look at how to adjust the permission settings.

 

Try it now: Setting permissions

  1. In the Exercise Environment, click on the three dots next to "test Filebox" in the folder Practice Files.mceclip2.png
  2. Select Share and type "sync" into the email box. Click on the email "sync@datarails-course.com" to share it with this (test) user.
  3. Under Filebox Permissions select Filebox Viewer
  4. Click on Send. This notifies the user that the Filebox has been shared with them via email (in our example, no email was sent).

When sharing a Filebox, folder, or dashboard, you can choose from the following permission levels:

  • Owner: Permission to edit, delete, and share an object.
  • Contributor: Permission to upload multiple versions to a Filebox.
  • Filebox Viewer: Permission to view versions.
  • Filebox Dashboard Viewer: Permission to view Dashboards that extract data from a Filebox, but have no access rights to the actual Filebox.

Note that sharing a folder applies the same permissions to all files in the folder - including those that get added at a later point in time. 

 

 

Try it now: Adding Members (for Admins only)

  1. In the Exercise Environment, navigate to Settings (or Home if you can't see Settings in your version of Datarails) and click on Admin and Members & Groups
  2. Click on the plus icon in the top-right cornermceclip8.png
  3. If you'd like to add a colleague to the Datarails Exercise Environment, you can add their email here and select the Role you'd like to assign. If you click "Add" they will receive an email asking them to create a Datarails account.

If you'd like to add additional licenses to your Datarails account, please also contact support@datarails.com so your monthly billing can be adjusted accordingly. 

 

Integrations

You can connect Datarails with other systems that store your data, such as Enterprise Resource Planning (ERP), Human Resource, or Customer Relationship Management systems. This allows you to seamlessly update your reports at the click of a button, without having to manually upload files.

Integrations can be configured to synchronize on a daily, weekly, or monthly basis, so you always have access to the latest data when you need it.
