Integration Filebox

In Datarails, data can either be uploaded manually to a Filebox or synchronized via integration. This article outlines the process of syncing data within an Integration Filebox.

To start syncing data, you'll first need to create an Integration Filebox. Learn more about Datarails integrations methods and Integration connection step by step guides.

Once you have connected your system to Datarails via an integration, data is seamlessly shared between your systems and Datarails. 

Sync Permissions 

In order for you to sync a new Filebox version via integration, two conditions must be met. First, the relevant Filebox must be shared with you. Second, access to the connected data source is required. Without access to the data source, syncing will not be possible.

Users with access to Integration Filebox can request sync permission by asking the Admin or the CSM to share the data source connected to the Filebox with them. 

Request Syncing permissions 

To request syncing permissions, follow these steps:

  1. Navigate to the Workspace and select the relevant Filebox.
  2. Click on the three dots ellipsis icon and select 'Sync', or click the 'Sync' button that appears when hovering over the Filebox. 
  3. In the 'Sync Filebox' window, click 'Sync' or select a Date tag and then click 'Sync'. 
  4. A 'Request Permission' message will appear.
  5. Click 'Request Permissions'
  6. A permission request email will be sent to your CSM and all users who can share the data source.

Grant Syncing permissions

To grant syncing permissions, follow these steps:

  1. Navigate to the Workspace and open the relevant Filebox.
  2. Access the 'Settings' tab.
  3. Identify the connected Data Source in the 'Data Connection' section.
  4. Navigate to 'Data Sources' within the Admin panel.
  5. Select the relevant Data Source.
  6. Click on the three dots ellipsis icon and choose 'Share'.
  7. Add the user's email or Group, then click on 'Send'.

Scheduled Sync

Set up a specific time interval for Automatic Filebox synchronization.

  1. Navigate to the Filebox.
  2. Access the 'Settings' tab.
  3. Go to the 'Set Sync Frequency' section and select 'Time Interval Settings'.
  4. Choose your preferred frequency.
  5. Confirm your selection by clicking 'Save'.
  6. The 'Date tag offset' section will appear (interacts with the Filebox Date tag).
  7. Select 'Current & Previous' or customize the timeframe by clicking 'Custom'.
  8. Save your new sync schedule by clicking 'Save'.
  9. Automatic synchronization will now occur based on the selected time interval and timeframe.

Manual Sync

Sync the Filebox on demand. You can sync a single version from the Filebox or multiple versions through the Filebox Settings tab.

Sync from Workspace 

  1. Navigate to the Workspace and select the relevant Filebox.
  2. Click on the three dots ellipsis icon and select 'Sync', or click the 'Sync' button that appears when hovering over the Filebox. 
  3. A 'Sync filebox' window will appear.
  4. To sync a new version, click 'Sync' or select a Date tag and then click 'Sync'. 
  5. A 'Synchronization has started' message will appear.
  6. If the sync is successful, the new version will appear in the Filebox.
  7. If the sync fails, refer to Integration Filebox Troubleshooting. 

Sync from Filebox 

  1. Navigate to the Workspace and open the relevant Filebox.
  2. Click on the 'Sync now with integration' icon. 
  3. To sync a new version, click 'Sync' or select a Date tag and then click on 'Sync'. 
  4. A 'Synchronization has started' message will appear.
  5. If the sync is successful, the new version will appear in the Filebox.
  6. If the sync fails, refer to Integration Filebox Troubleshooting. 

Sync multiple versions from Filebox 

  1. Navigate to the Workspace and open the relevant Filebox.
  2. Access the 'Settings' tab.
  3. Go to the 'Sync now' section and choose 'Select Dates'.
  4. Select the relevant dates and click 'Select'.
  5. Click 'Sync Now'.
  6. A 'Command "Sync now" sent successfully' message will appear.
  7. If the sync is successful, the new version(s) will appear in the Filebox.
  8. If the sync fails, refer to Integration Filebox Troubleshooting. 

Integration Filebox Troubleshooting 

Understanding how to resolve syncing issues in your Integration Filebox is essential for maintaining seamless data management. When a syncing issue occurs, Datarails will display an error notification on both the platform's home page and the affected Filebox. Each error provides a detailed description along with resolution steps.

Troubleshooting from the Home Page

  1. Go to the Home Page.
  2. If the 'Integration Status' section displays 'Successfully Synced,' there are no integration issues. If it shows a red error icon with a number, there are integration issues.
  3. To review integration errors, click on the 'Integration Status' section.
  4. In the Integration Status window, you'll find a list of all errors. 
  5. Integration Filebox syncing issue will appear under the 'Query errors' section. 
  6. Each syncing error includes the Filebox Name, Data Source Name, Error Description, Resolution Steps, and the last sync date. If no Resolution Steps are available, a message prompting you to submit a support request will appear.
  7. To access the Integration Filebox, click on the Filebox name.

Troubleshooting from Filebox

  1. Navigate to the Workspace and choose the relevant Filebox.
  2. Check for a red 'Sync error' icon next to the three dots ellipsis icon, which indicates a syncing error.
  3. Clicking on the 'sync error' icon will open a 'Query Error' window displaying details of the sync error. 
  4. The sync error details include the Data Source Name, Error Description, Resolution Steps, and the last sync date. If no Resolution Steps are available, a message prompting you to submit a support request will appear.
  5. For further investigation, navigate to the feed section in the collaboration tab within the Filebox. Here, you'll find all actions related to the Filebox syncing.

Cancel Filebox last Syncing actions 

If you've synced a new version and need to cancel it, perhaps due to an incorrect query or selecting the wrong month, follow these steps:

  1. Navigate to the Workspace and open the relevant Filebox.
  2. Access the 'Settings' tab.
  3. Go to the 'Save data integration' section.
  4. Click 'Save'.
  5. A 'Query Saved' message will appear, and all syncing actions for the Filebox will be canceled.
